Subscription Service
1. Introduction
These Terms and Conditions (“Terms”) govern your subscription to The Cafe Collective, a cafe subscription service, registered in the United Kingdom under company number [16077600] and with registered office at [5 The Rosery, Gosport, England PO12 2DD].
By subscribing to The Cafe Collective, you agree to comply with these Terms and any policies referred to within. If you do not agree with these Terms, please do not proceed with your subscription.
2. Subscription Service
The Cafe Collective provides subscribers with monthly access to selected cafe products and services at partner locations across the UK. Specific benefits, such as daily coffee or snack entitlements, may vary according to the subscription tier selected and the venue.
Subscriptions are personal although they can be transferable, where one person is buying a subscription for another person.
Subscribers must present a valid subscription pass at participating locations to redeem benefits.
3. Payment and Billing
3.1 Subscription Fees
The monthly subscription fee is payable in advance and will be billed on the date you initially subscribed or on a designated billing cycle thereafter.
3.2 Billing Information
Subscribers must provide accurate and complete billing information. Payment information provided by you must be valid and up-to-date. In the event of unsuccessful billing, we may suspend or terminate your subscription until payment is received.
3.3 Changes to Subscription Fees
The Cafe Collective reserves the right to change subscription fees at any time. Subscribers will be notified of any fee changes at least 30 days in advance. If you do not agree with the new fee, you may cancel your subscription before the changes take effect.
4. Cancellation and Termination
4.1 Cancellation by Subscriber
Subscribers may cancel their subscription at any time via their online account portal or by contacting our customer service team at [email protected]. Cancellations take effect at the end of the current billing cycle, with no partial refunds for any unused period.
4.2 Termination by The Cafe Collective
We reserve the right to terminate or suspend a subscription without prior notice if a subscriber breaches these Terms or engages in fraud, abuse, or misconduct. In such cases, any remaining subscription fees are non-refundable.
4.3 Cooling-Off Period
Under UK consumer law, new subscribers are entitled to a 14-day cooling-off period starting from the date of subscription. During this period, subscribers can cancel their subscription and receive a full refund. To exercise this right, subscribers must notify us within the cooling-off period.

The Café Collective is a community-driven initiative offering a unique coffee subscription service, providing remote workers and coffee enthusiasts access to participating cafés.
2. How does the coffee subscription work?
Subscribers pay a monthly fee which provides them with a wallet pass to show on their phone and redeem a set number of drinks at participating venues.
3. How can I join the subscription service?
We currently have a pass in partnership with Hello My Moon Cafe in Brighton. This pass can be purchased here. If you would like to join the waitlist for our multi-café pass you can do this here.
4. Are there any participating cafés in my area?
A list of participating venues will be kept updated regularly on our website when the multi-café pass goes live. For now we are currently partnering with Hello My Moon café in Brighton
5. Can I cancel my subscription at any time?
Subscribers can cancel their subscription at any time through the Stripe subscription management portal, which can be accessed through any of the subscription confirmation and renewal emails or here. Your pass will remain active until the end of the current billed cycle.
6. How do I manage my subscription?
Subscribers can manage their subscriptions through their online account portal in Stripe or by reaching out to customer service at [email protected]
7. What if I have dietary restrictions or preferences?
It's recommended to check with individual participating cafés regarding specific dietary needs.

Yes! You can use your coffees however you like throughout the month, whether that’s two, three, or four in one day or just a few across the week.
11. Do I need to book in advance or can I just walk in?
You’re welcome to walk in! No booking is required, just visit any participating café and present your pass when ordering.
12. Can I gift a subscription to someone else?
Absolutely! Subscriptions can be gifted, just sign up using their details or contact us to help set it up.
13. Are non-coffee drinks (like tea or hot chocolate) included?
Offerings may vary by café, most include standard hot drinks. Details of offerings will be updated regularly on our website
14. Is the coffee available for takeaway or only for sitting in?
Most cafés offer both options, but it depends on the venue, look for takeaway symbols in our café listings or ask when you arrive.
15. How do I update my payment information or subscription preferences?
You can manage payment details and preferences through your Stripe customer portal, which is linked in your confirmation email.
16. How do you support local cafés?
We partner directly with independent cafés, helping them increase foot traffic and marketing exposure, while fairly reimbursing them for each coffee redeemed.
17. Is there a referral program?
Yes! With the Hello My Moon Brew Pass refer a friend and you’ll both receive 10% off your next subscription cycle once they sign up. Just give your unique referral code which can be found on the back of your pass.

3. Is there a cost associated with joining?
Joining the collective is completely free for cafés.
4. How does the subscription system integrate with my existing operations?
We provide all the tech to manage subscriptions, all your café needs is a device with a camera (like a smartphone or tablet) and the ability to download our QR code scanning app. It’s quick to set up and fits right into your existing workflow.
5. Can I set limitations on the types of coffees offered to subscribers?
Yes, cafés can define their own terms and conditions to specify which drinks are included or excluded in the subscription, so you stay in control of what works for your menu
6. How are reimbursements handled for subscriber coffees?
Reimbursements are made at the end of each month, based on the number of redemptions at your café and at a set price agreed before you join The Café Collective.
7. Will I receive marketing support?
By joining The Café Collective, you become part of a network of independent cafés that we actively support through our marketing efforts. We’ll promote your business as part of our marketing strategy and across our social media channels, with additional support available if and when you need it.
8. How do I track subscriber visits and redemptions?
Redemptions are tracked through our QR code scanning app, which logs each coffee claimed by a subscriber. You may also find it helpful to add a button to your till system to track these coffees and monitor any additional spending by subscribers.
9. Can I offer additional promotions to subscribers?
Cafés are encouraged to provide exclusive promotions or offers to subscribers to enhance their experience.
